When you register for WFC 2023, you will be asked for permission to publicize your name on the WFC website and in WFC 2023 printed materials. There is no benefit associated with publishing your name other than identifying yourself as a member of the WFC.

COVID-19 Statement

The safety of our speakers, staff, and conference attendees is our top priority.

We will not require proof of vaccination but hope that everyone that can will be vaccinated.

We strongly recommend but do not require masks to be worn.

If you have COVID-related symptoms, please stay home. WFC will work with you to move your registration to a virtual or supporting membership.

Hand sanitizer will be provided at the registration desk and all programming areas. Proper sanitation of the meeting space will be performed prior to the start of the conference and each night.

We encourage all in-person attendees to return to the same seat after breaks and when staying in the same meeting room for consecutive sessions. For presenters, the computer equipment including the microphones will be wiped down after each use.
We ask that all WFC attendees follow any additional safety protocols established by the Sheraton Hotel, the State of Missouri, or the city of Kansas City, MO through mandates and/or regulations.

Diversity and Inclusion

The committee for the 2023 World Fantasy Convention is unconditionally devoted to promoting diversity within our convention. We will have a Diversity and Inclusion Committee on programming. We are also actively recruiting people to create better cultural, gender, and community representation across all aspects of our convention, including the Art Show and the Dealers’ Room. These are still, for the most part, early days in the planning of our convention, but we are looking at ways to increase diversity
and inclusion both in our membership and in our convention committee and volunteer base.

We agree that in the past there have been problems in the handling of community concerns regarding sensitive and serious issues and we are taking steps to address these problems. We want our convention to be a friendly, accepting, comfortable place for BIPOC, queer, disabled, and other marginalized writers and fantasy enthusiasts.

Furthermore, the Kansas City World Fantasy Convention abhors the inequalities Indigenous, Marginalized, and Historically Underrepresented People are confronted with in policing and other aspects of society around the world, including Missouri and the U.S., and we stand with them. We are committed to ensuring that all underrepresented people are given equal opportunities to participate in all aspects of our convention.

members who are in distress, suffering harassment, or are otherwise in need of
assistance, within the scope of their individual ability to help. This can include contacting
convention staff in serious situations.
All members of WFC have the responsibility to respect and care for the venue which
hosts the convention.
All members of WFC have the responsibility to take care of themselves during the
course of the convention. It is generally advised that con attendees follow the “5-2-1
rule,” which recommends a minimum of 5 hours of sleep, 2 real meals, and 1 shower
each day. Have fun, but take care of yourself.

Behavior Policy

Definition of Harassment

Harassment is any form of behavior that is unwelcome, unreciprocated, and unsolicited
which makes an unpleasant, humiliating, or intimidating environment for the person who
is the target of that behavior. To provide a safe and welcoming atmosphere for all
convention attendees and allow for a wide diversity of beliefs, lifestyles, and relationship
dynamics, we will adopt and maintain the below behavior protocols.
Types of harassing behaviors include (but are not limited to) cornering people, following
people, continuing to talk to someone when they’re trying to walk away, taking photos
without permission, touching people without permission, continuing to flirt when
someone has already said no, or trying to force your personal views and demands on
other people against their wishes.
Sometimes, a person means “no” but is unable to fully express that message or
someone else isn’t hearing the message. To be clear:
Only “yes” means yes.

If a person does not express clear consent for attention or personal interactions, then
consent has not been given.

Witnessing Harassment

If you see harassment, contact Con Staff at Operations or speak with a WFC Staff
member in your area. If circumstances warrant, intervene within the scope of your ability
as good judgment dictates.
If you witness someone having trouble saying “no,” or see someone not understanding
an implied “no,” get involved using your best judgment. Ask if they’re okay. Help them
walk away from a bad interaction if you can. Encourage them to talk to Con Staff. If you
are unable to help directly, please contact Con Staff to intercede in the situation.

Other behaviors not specified

The code of conduct describes common problems encountered at fan conventions, but
it is not exhaustive of all unacceptable behavior. The Staff of WFC reserves the right to
assess any disruptive or unacceptable behavior and to determine the consequences on
a case-by-case basis.
In other words, just because this policy didn’t specifically list something you can’t do,
that doesn’t mean you’re going to get away with it.

If there is a complaint issued against you

Full consequences will depend on the nature of the complaint and are at the discretion
of Convention leadership.
In all cases, you will have no further contact of any sort with the convention
attendees/club members who registered the complaint(s) against you. This includes
voice, written, electronic, and face-to-face contact. Inadvertent contact during the
course of club and convention events is sometimes unavoidable, and must not be used
as a method of initiating unwanted attention. If you remain at the convention following a
complaint and you encounter the person who lodged the complaint against you, it is
your responsibility to actively avoid contact with that person.

Consequences

Failure to adhere to WFC policies will result in some or all of the following:
Mediation by the ConCom with all parties involved in an incident
Verbal warning
Removal of membership and ejection from WFC
Contacting local law enforcement
WFC is prepared to deal with any violations of our policies as rapidly and efficiently as
possible within the scope of the law. We hope that all members will help to make WFC
an enjoyable experience for all by respecting the rights of all attendees while in
attendance.

World Fantasy Con is a private, members-only event. Membership to WFC is a
privilege, not a right. WFC reserves the right to revoke membership and eject any
individual at any time from WFC. No refunds will be provided.

Privacy Concerning Photographs and Recording Electronic Information
Photography and video and/or audio recordings are frequently made by WFC during
events. The likenesses of event attendees and members may appear in those
recordings. Attendees and members agree to assign without compensation the use of
their likeness in promotional material.

Personal Photography / Recordings

Please be polite and ask before taking photographs or recordings of attendees and
members Remember that just because someone appears in public does not mean that
they automatically grant permission to be photographed. Video and audio recording and
photography for personal archival use only is generally acceptable unless individuals
make it clear that they do not want to be photographed or recorded. In that case, any
photographing or recording them is expressly forbidden.

Privacy Statement

We collect your information to allow the convention committee and staff to provide you
with better services. Your personal information will be kept strictly confidential. We will
ask for your consent before sharing your information with anyone outside this
convention committee.

  1. We must retain records relating to member registration and financial transactions.
    Other than this obligation, at a user’s request, we will remove any information about the
    user from all online systems after the 2023 WFC.
  2. Contact information will be shared with the next two World Fantasy Conventions to
    allow our members the right to exercise their WFC nomination rights. If you do not want
    your information shared with future conventions, please indicate that on your
    registration form.
  3. Member financial payment information, e.g., credit card numbers, does not come to
    us through online payment systems, such information is handled exclusively by the
    online payment service. (We use only Payment Card Industry [PCI] compliant
    companies when processing your credit cards.)
  4. The Kansas City Science Fiction and Fantasy Society (KaCSFFS) is the sponsoring
    organization for this convention. KaCSFFS observes the laws of the United States and
    the State of Missouri, the rules of the WFC Board, and the bylaws of KaCSFFS. Withinthe practical limits and resources of a non-profit volunteer organization, we will observe international best practices for privacy as well as transparency in relation to information storage and privacy policies.
